The next release of P1Wired is right around the corner, and with the new release you’ll get these added benefits, plus more. You can now pre-set the length of your appointments, so if your senior session is typically 15 minutes, you set the length to 15 and it will automatically create the appointment for the allotted time. You can, of course, change it on any given appointment.Streamline your business

You are now able to add negative line items to P1Wired, so if you wish to discount an order or apply a gift card, you can!

In Setup / Products, you can select to view all items, or only active items, making managing your price list even easier. Further, if a price is marked as inactive, you will no longer see it when you’re adding items to orders.

We have added a couple of new buttons from the “More” menu: Schedule and Orders. Schedule will send out emails that were automatically created via workflow, and the Orders button will allow you to quickly look up orders based on a number of different things, from here you can also quickly update the order, whether it’s a delivery date, marking workflow as complete, or taking a payment.

We have also made a change to the dashboard, providing an “at a glance” look at orders that have an outstanding balance. Afraid your staff may see this information? Use Security – General / Roles to limit what staff can see and do.

We also noticed that not everyone uses order dates on orders, and those clients were being missed in Marketing. We have added the flexibility of marketing to clients who have placed an order, with or without an order date.

We’ve also increased the amount of info available from the calendar, both monthly and weekly, so when you roll over an appointment, you can see the type of appointment that’s scheduled, the client, and the start and end times; quickly providing all the important information you need.

We have simplified check entry and adding the chart of accounts the check should be allocated too. Simply type in the first letter of the chart of accounts you want, and it will auto-fill for you.

All these enhancements will be available in your studio’s site by September 15, 2010.

P1Wired just added a new feature to the Category and SubCategory drop-downs on the Add\Edit Customer window.  P1Wired created this feature to simplify the set up associated with new customer data. Currently in P1Wired, when you want to add new customer codes, you go to the setup option, find the tab you are looking for and add your new codes.  We realized this may be too many steps in a photographer’s workflow.

Simple and Easy — with this new feature, just click on the Category combobox, the first value will be [Add New].  Go ahead and select [Add New] and up pops the Add\Edit Category window.  Just add the new code and press the save button, your code gets added and applied to the customer you are adding.  

This new feature should be a big time saver and allow the photographer to add a new code on the fly. This was a great suggestion from one of our users and we will be adding this functionality to all the combo boxes in our next release — scheduled for July 2010.

With the most recent release, P1Wired developers focused on some major new features and a bunch of Nice-to-Haves to improve a photographer’s workflow. In our the last blog post we listed four new N-to-Hs — we will list the balance below:

1. P1Wired added auto capitalize to the software. The photographer will notice this feature in the Setup area and also in all aspects of customer/contact sections.

2. P1Wired has further refined the ability to add a customer “on the fly” as a result of adding a new appointment. Jump into the add/edit appointment form and select the Add Customer button. Key in the new customer information and select save — the customer is added to your customer file and also to the new appointment.

3. P1Wired has reworked the look and feel of the software application. We have continued to simplify the look and increase the size of the buttons. The goal is to make the software application as intuitive as possible and let the photographer get started immediately without a lot of setup.

Although P1Wired is a new application, it shares many of the best features of PhotoOne, our desktop studio management application that has been an industry leader for over 15 years.

As you enter P1Wired you’ll notice that we’ve set up the application with four main areas:

1. We’ve got five icons along the top: Contacts, Calendar, Accounting, Dashboard and Reports. Let’s take a quick look at these features.

First we’ll click on Contacts. The Contacts section allows you to keep a record of your Vendors, Relationships, Payees and Family.

Next, let’s look at the Calendar feature. The Calendar is set up to give you any number of different views, whether daily, weekly or monthly. It also allows you to color code the calendar to make quick visual distinctions. The calendar syncs with Google calendar so an appointment in P1Wired will appear in Google calendar, allowing you access with your iPhone and other handheld devices.

Now let’s click on Accounting. The Accounting feature allows you to tie into order entry. It also allows you to keep track of deposits and expenses through multiple bank accounts. All of this is managed from a central hub called Chart of Accounts which allows you to bucket receipts, expenses, liabilities, assets, and cost of goods sold which will offer you valuable reporting and metrics when analyzing your business.

The Dashboard is a quick snapshot of your business. You can quickly look at today’s weather, review appointments entered on your calendar screen, review sales figures for the month and the previous 3 months along with the cash receipts that have been deposited in the bank. And you can review all open orders and associated balances to allow you to better manage the receivable aging process.

Finally, the Reports feature will provide you with a screen or printed summary of what’s going on in your photography business. Do you want to cross check your P1Wired checking entries against your bank entries? Do you want to run a quick Profit/Lost statement? Or do you want a transaction history by accounts? This will be all part of P1Wired.

2. Right underneath the Icons is a complete Client/Prospect list which is always active. Here you can quickly and easily access a client or prospect and add, delete or edit their profile.

3. Underneath the Client/Prospect listing is the Calendar. As we mentioned earlier, this is another easy and intuitive access point to your appointments letting you see when and where resources are allocated.

4. In the large blank area of the page is the Workspace or the “Make It Happen” area. When you click on any of the features in P1Wired they will open in the “Make it Happen” area which will provide a large work area for you to get your daily activities accomplished. When it’s not being used, you have the option of displaying your studio’s logo or image.

We have also included a Setup function that is accessed through the little wrench icon in the top right-hand portion of the page. As you enter into the Setup function you are able to customize your Customers, Products, Calendar, Orders, Accounting and Security. Each one of these features can be tailored to capture the information unique to your business. For example, if you go into the Customer section of Setup you will find that the Customer can be tagged within a Category and Sub Category. This will help you when you are looking to filter the data before running a report.

The client, through their order, can also be tagged with a Chart of Account and Relationship type allowing for additional client profiling when analyzing your business.

Another great feature in Setup is the Security feature. Here you can quickly and easily set up each employee or user’s clearance profile. Admin will have full clearance, but you may want only limited clearance for an employee based on experience or their role in the studio.

These are just some of the outstanding features of P1Wired! There are many more like credit card processing, multiple color schemes for the application, invoicing, sales tax, promotion capability, email and many others.
